There will be a Hub telecon on Monday, March 15 at 11 AM CDT (that's right - the U.S. will be back to daylight savings time) to give the members of the Hub team an opportunity to discuss the proposal and how we proceed from here into the orals phase. Dialin information is as follows: Domestic dial number: 1-800-857-5332 International dial number: 1-210-838-9958 Passcode: 42269 Anyone who is onsite at Argonne that day, please come to Bldg. 208, conference room L110 to participate in the call. To the extent that it is convenient to do so, I would like to ask people at the same location to call in using a single line. We have reserved 30 domestic lines, but the Hub has a large membership, and I want to try to ensure that we have enough lines available for everyone. Please note that the weekly telecons for both the Hub steering committee and the Hub Technical Working Group are discontinued for the time being. While we are preparing for orals, we will schedule telecons only on an as-needed basis. Once the real work of the Hub begins, we will put in place a schedule of regular communications with team members. Laural

Hub orals update

Just a quick update on how the Argonne Hub is moving to prepare for DOE orals: Argonne has not yet received official notice from the DOE as to when we might be scheduled for a site visit and orals review by the DOE review team. We do have strong indication that it may be the week of April 19, so that is the timeframe we are working with. Per the FOA, scheduled presentations will be made only by the Hub management team. A single representative from each of the team partners can be present during the review; depending on the types of questions posed by the review team, it is possible that Bob Rosner will ask some of the representatives to contribute short answers as we respond to the questions, if a question calls for detailed, specialized knowledge in a particular area. Team partner representatives will provide responses only if asked by Bob to do so. The Hub management team has been working with our consultant, Holly Coghill, to prepare presentation materials and will be working with her throughout the week of April 12 on finalizing the presentation materials, the oral presentations, and the elements of the site tour. The red team that reviewed the written proposal on February 19 will reconvene on Friday, April 16 to participate in a mock orals and site tour day and will provide us with feedback on how well both the presentations and the site tour convey the central message that Argonne is the best team to implement the modeling and simulation Hub. Using the red team input, final adjustments will then be made on April 17. Team partners have already been contacted regarding sending a representative to the DOE orals, and technical leads are contributing information to the presentation materials. Precaution regarding Hub proposal

Just a reminder to everyone that the Hub team is still involved in an active competition for the Hub award, so please keep the proposal within the team while the competition is still open. Also, please do not print the proposal, just view it online. Until the award is made in June, the proposal, and any other Hub documents or presentations, should be viewed as sensitive material. Hub proposal submittal completed

Just a quick note to assure everyone that Argonne did submit the Hub proposal to DOE March 8 and we have received acknowledgement that DOE-ID received all of the package. It wasn't without some drama - DOE had neglected to change the submittal deadline on Grants.gov to the new deadline of March 8, so when we tried to submit on the weekend, the Grants.gov server rejected, claiming the deadline had passed. We found on Monday that this also happened to the Oak Ridge team. Both teams, of course, sent e-mails to DOE-ID immediately, and so on Monday morning, DOE-ID corrected the deadline and we were able to get our proposal submittal accepted. Since DOE-ID communicated only with the Argonne and ORNL teams regarding the snafu with the Grants.gov deadline, it is a good bet that only these two teams submitted proposals. I am in the process of getting a few minor corrections into the proposal pdf, then I will post the pdf on the SharePoint site for the team to take a look at. Will update everyone concerning orals when I hear something from DOE. Laural

Update on Hub proposal submittal

Just a quick update for everyone on the Hub proposal submittal. The narrative and all appendices have been completed, as were all financial forms. Over the weekend, we assembled the required submittal package, with all attachments, and attempted to submit it on Sunday, March 7; however, DOE-ID had failed to update the submission deadline date on Grants.gov, and so the DOE servers thought the deadline was still March 1 and refused to accept the package. Apparently, the ORNL Hub team submitted their package over the weekend also, and the same thing happened to them. Both teams contacted DOE-ID, and the contract specialists modified the Grants.gov deadline to reflect the true deadline (with a little extra time built in, since the submittal process has to clear five government servers before DOE-ID can pick up the proposal). The modified deadline required downloading a new submittal form and filling it out, so our financial staff have been populating the new form and making the necessary attachments. We are in ongoing contact with both DOE-ID and DOE-HQ and will soon try our submittal again. I will let you know the results. Laural

Telecon cancelled and red team review summary

The weekly Hub steering committee telecon for Monday, February 22 has been cancelled in order to allow a number of the participants the time to focus on completing revisions to the Hub proposal narrative. Here is a summary of the red team review of the narrative: A red team of eight reviewers from industry, universities, and Argonne performed a comprehensive review of the Hub proposal draft narrative on Friday, Feb. 19. The team initially discussed the Hub vision with several members of the Hub team, then spent about four hours in executive session going over the draft narrative. They then discussed in detail their comments on the draft with Hub team members and Argonne management. Their feedback is proving to be an extremely helpful contribution to the process of producing the final proposal narrative. Their main comments focused on the following: 1. The fundamental premise of our proposal is unique and powerful, is a winning combination, but needs to be articulated better (=more clearly). 2. The proposal narrative needs considerable strengthening on the technical aspects of the problems to be tackled; thus, the materials that we've assembled in what has been called by some of us our 'bible' need to find a place in the proposal. 3. It is essential that assertions about capabilities, etc. be backed by 'proof', that is, concrete evidence of the correctness of the assertions; we don't 'blow our horn' loudly enough. 4. The industry connections - and in particular, the fact that industry will not only advise us, but send individuals to our Hub for work - are a very strong component of what we're proposing and need more amplification.
