PMT Meeting Invitees

PMT, I have a proposal addressing logistics for the January PMT meeting. I seek feedback. The Winter PMT meeting is our annual opportunity to candidly work strategy and coordination as a small management team. This year we are adding a session to review EOY11 initiatives. In some cases those initiatives involve key contributors/leaders who are not members of the PMT. Some PMT members have expressed concern that the size of this normally-small meeting could become unwieldy and derail our objectives. I am somewhat sympathetic. Since we are setting aside part of a 3rd day so we can achieve both, I would like to propose we treat these as separate but sequential meetings. This would permit us to limit attendance the first two days to the PMT (including alternates, of course) for conventional meeting objectives. We could focus the third day on initiatives and include PI's/WPM's that we feel are crucial to the success of these projects. Thoughts? Concerns? ~Keith ************************** Keith S. Folks, As mentioned on the call yesterday, I have compiled a potential list of topics we could address at the PMT meeting. While Alex' observation was spot on — we won't have time for all of them — I know that if I prune the list down on my own, somebody is going to come out of the woodwork and berate me for dropping his/her most important topic without consulting the PMT/AMSO first. And, in the spirit of being inclusive, I want input before we prune. So, with full recognition that the final list will be substantially shorter, I note the following possible topics: * EOFY11 Initiatives * The new Requirements Document (Altschuler) * The new Quarterly Reports * Interfaces with stakeholders/customers (could be combined, in principle, with Requirements Document) * State of Challenge Problems * NEAC Ad Hoc Committee Reviews, Past (December) and Future * Status of NEUP proposals and projects (meeting the spirit of the boilerplate required in each work package for FY12) * Status of FY12 work packages and how they feed the out-year strategy * Snapshot (as of late January) of FY12 funding situation, plus possibly (permissible) insight on FY13 * Cohesion between IPSCs and CMTs Sorry for the length. Scheduling practice run for review

(I'm sending to the PMT in case anyone has a particular interest hearing my presentation.) 5-8 Dec I'll be in Portland on business. 9-11 Dec I'll be unavailable, on a trip planned since the beginning of the year. My time in Portland is pretty flexible. The one caveat is that on Thursday, I have a 1pm PT flight home, and I probably need at least two hours prior to that to take the train to the airport, etc. but that's still up to about 2pm ET. -- David E. Revising WPs for FY12/FY11 swap

This is a question for Rob, I think, but others who are having their funding swapped will probably be interested in the answer. The basic question is: exactly what do I need to do to my WP for the FY12/FY11 swap? Is it as simple as changing the year on the budget line? Is the B&R code the same or different? Thanks, db

Folks, We need a volunteer (PMT member or WPM/PI) to provide technical highlights of a recent program achievement for the Quarterly Report. The outline for the Report describes the "Technical Highlights" section: "Here we have brief to in depth notes on one or two significant technical achievements, selected by the PMT for this quarter. These would be equivalent to USA today reports on technology as opposed to scholarly reports in a peer reviewed publication." This is an opportunity for one of you (each quarter) to feature one or two particular achievements within your program element, demonstrating to a broad audience of stakeholders and paying customers how your NEAMS element contributes to the success of the overall mission. First NEAMS FY12 Quarterly Report

More on quarterly reports. The first step in preparing the quarterly report is for each of you to be armed with quality input from each work package manager. Please take this time to impress upon them the importance of their input. I suggest you mine their input from PICSNE rather than requiring separate and potentially redundant tasks. Given the impending holiday season, please provide me with your summarized input for Q1 by COB two weeks from today — Monday, December 13. That should give you sufficient time to (a) discuss the requirements with the WPMs, (b) ensure they populate PICSNE with quality input (for the projects that have received funding), thereby (c) enabling you to summarize their input into a concise but informative narrative that can be inserted into our quarterly report. Since the deadline is the middle of December, we'll have to settle for work reported in October and November this go-around. We can aim for the full 3 month windows in future quarterly reports. Monthly Performance Reporting

Folks, There was a question about whether PICSNE accommodated/required performance input on a monthly basis. A quick look indicates the following fields exist for monthly performance: * Accomplishments * Issues & Concerns * Anticipated Change Requests * Identified Carryover * Commitments * Cost Variance * Milestone Variance * 30 day look ahead * 60 day look ahead * 90 day look ahead I note that there will be months where it may be not applicable to populate all fields. However, fields such as accomplishments, cost variance, some depth of look ahead, etc. should be populated each month. The "accomplishments" field in particular is the one I had in mind when I was suggesting that it should be the starting point for your summaries for the quarterly reports. The "issues and concerns" and "anticipated change requests" will also be useful toward preparing the quarterly reports. More to come … ~Keith Keith S. Bradley, Ph.
